Most project management software are either too simplistic or too complex for smaller teams. The problem with simple to-do apps is they do not allow you to handle more complex situations.  For example, working on several projects simultaneously without getting lost is very difficult.

On the other hand, more complex project management software require so much work from you to configure and use, it feels as if you are working for them and not the other way around. Folders, Projects and Tasks : Simple
When you start using Sam, you notice that it requires very little or no configuration at all. As an assistant would do, everything is pre-organized for you and your team, with folders to regroup your projects for instance. The only thing you need to do is to create new folders, add your projects in. Then you are ready to start adding tasks. The nice thing is, even though it is organized for you, one of its greatest qualities is its flexibility.

You can combine the different containers (ie folders, projects and tasks) in countless ways to accommodate the different needs of your team for different size and type of projects. For project of a larger scope you can decide to use a folder as a master job, or program, that will use projects as phases. Alternatively for very small projects you can decide to use tasks as mini projects inside of a project.

The Dashboard, your best ally to stay on top of the madness.
In the past, I would waste a lot of time deciding what to work on next. Especially when I had many projects I was trying to handle at the same time. All these projects and tasks to work on or to delegate, those emails to answer about them, could stress me out to the point of being almost paralyzed.

The dashboard is probably what is helping the most with this “paralyzing indecision syndrome”. At any point of time, be it in the morning when I get started or during the day when I am done with a stretch in one of my projects, I can go to my dashboard and easily know what project and tasks need my attention next.

I find the dashboard a life saver when I need to follow up on multiple projects and need to coordinate with team members. The Dashboard is one of the most obvious case of software being your assistant. This entire screen is prepared and constantly maintained by Sam.

Multidimensional document management assistance.
Before this personal assistant, another issue I had was trying to organize all the material for my projects. Between emails from different clients, each with their attached documents and files, the files generated for the projects, the scope of work, as a team, we would spend an awful lot of time organizing and communicating all this.

The problem was compounded by the multiple versions of a same document and having to make sure we all had the latest version of them. This is now a breeze with the assistance of automatic document management.

Different roles and expertise need different requirements.
In a team, different roles or expertise often involve very different project management requirements. For example you might have to deal with a large volume of communications with different external partners. You would then benefit from Sam9000’s email integration to help you manage them.
